Privacy Policy
Effective October 19, 2026
This policy explains what RingKept LLC collects, how we use it, and your choices. It covers businesses that use RingKept, visitors to ringkept.org, and people who call a RingKept line.
Information we collect
- Account and business details: name, business name, email, phone number, business hours, greeting, and receptionist instructions.
- Billing: payments are handled by Stripe. We don't store card numbers; we keep your plan and Stripe customer reference.
- Call information: for calls to a RingKept line, the caller's phone number, what they say (recordings, transcripts, and summaries), and details they provide, such as name, address, and what they need.
- Calendar (optional): if you connect Google Calendar, we read your free and busy times and create appointment events. We don't read the details of your other events.
- Consultation requests: name, business, email, phone, and notes you submit when booking a consultation.
- Device and usage: basic technical information needed to run the site and, if you turn on call alerts, a notification token for your device.
How we use it
To answer and route calls, send you call details and reminders, book appointments, provide your dashboard and monthly results, bill you, support you, keep the service secure, and improve RingKept. We don't sell personal information, and we don't use it for advertising.
Google user data
RingKept's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google Calendar access only to check availability and add the appointments your receptionist books, and you can disconnect anytime from your dashboard.
Who we share it with
Only service providers that help us run RingKept, under their own privacy and security commitments: our telephone provider (Twilio), voice AI provider (Vapi and the speech and language models it uses), database and hosting providers (Supabase and Netlify), email provider (Resend), payment processor (Stripe), and Google if you connect your calendar. We may also disclose information if required by law or to protect rights and safety.
How long we keep it
Call recordings are kept by our voice provider for about 14 days. Transcripts, summaries, and call records are kept while your account is active and deleted within 90 days after you cancel, unless we must keep them longer by law. Consultation requests (your name, business, contact details, and notes) are kept for up to 12 months after the consultation so we can follow up, then deleted, unless you become a customer. You can ask us to delete your data sooner.
Security
We use encryption in transit, restricted access controls, and encrypted storage of calendar access keys. No system is perfectly secure, so please keep your login safe.
Your choices and rights
You can update your information in your dashboard, turn off email transcripts or call alerts, disconnect your calendar, or ask us to access, correct, or delete your data. Callers who want their information removed can contact the business they called or email us.
Children
RingKept is for businesses and isn't directed to children under 13.

We'll post updates here and email account holders about significant changes.
